Both the Option Grid Collaborative and Trustees of Dartmouth College ("Dartmouth," also referred to herein as "we," "us," or "our") respect the privacy of the users of this website and are committed to protecting it through compliance with this website privacy policy ("Privacy Policy"). This Privacy Policy describes what information is collected about you when you visit ("this website") or otherwise use this website and its services and how that information is used and protected, and explains the choices you have about how your personal information is used. Please read this Privacy Policy carefully.

This Privacy Policy applies to information collected:

  • On this website;
  • In email, text, and other electronic messages between you and this website; and
  • When you interact with our applications on third-party websites and services, if those applications include links to this Privacy Policy.

This Privacy Policy does not apply to information collected by Dartmouth or any Option Grid editor offline or through any other means, including on any other website operated by Dartmouth, any Option Grid editor, or any third party.

A. Definitions and General Method of Data Collection

i) Data Controller

In accordance with Chapter 1, Article 2(d) of the European Union's Data Protection Directive (95/46/EC), Data Controller means "the natural or legal person, public authority, agency or any other body which alone or jointly with others determines the purposes and means of the processing of personal data." If you choose to register or update an existing member profile, or access certain functionality on this website, you may be required to submit certain personal data to us. Such personal data would include information that we can use to identify or contact you, such as your name, phone number, email address or any other information this website collects that is defined as personal or personally identifiable information under applicable law. Some of our interactive tools and services allow you to volunteer to submit information about your health, which may also be considered personal data under applicable law.

You are responsible for ensuring the accuracy of the information that you submit to us. Inaccurate information will affect your experience when using this website and related tools and our ability to contact you as described in this Privacy Policy.

iii) Information that We Collect through Automatic Data Collection Technologies

Even if you do not register with or provide any personally identifiable information to us, we collect automatically-generated information about your use of this website. Information that is collected automatically consists of data that will not be used to identify or contact you but that is about you and/or about your internet connection, the equipment you use to access this website and its operating system, information collected through various automatic tracking technologies, and usage details of your visits to our website, such as the content that you view, resources that you access and use, and the websites that you visit immediately before and after this website.

B. Registration

Access to some Option Grid Collaborative tools and services may be limited to users who have registered.

We will not make any use of your personal data in addition to the uses described in this Privacy Policy unless you consent thereto.

C. Newsletters & Emails to You

At registration and at various times as you use this website, you may be given the option of providing us with personal data in order to receive recurring informational or promotional newsletters about the Option Grid Collaborative via email from us.

When you sign up for email newsletters on this website or at any time, you can choose to opt out of receiving additional promotional newsletters from us.

You can unsubscribe from a newsletter by contacting the Option Grid Program Manager.

D. Business or Proprietary Information via Email

This Privacy Policy does not apply to business information, ideas, concepts or inventions that you send to us or to any Option Grid editor by email. If you want to keep business information, ideas, concepts, or inventions private or proprietary, do not send them in an email to us or to any Option Grid editor.

E. Updating/Removing Information You have Provided to Us

If you do not want the information that you have provided to be used as provided in this Privacy Policy, you should not register for an account on this website. You can correct, update, or review personal information that you have previously submitted by going back to your account and making the desired change.

F. Automatic Data Collection Technology

As you navigate through and interact with this website, we may use automatic data collection technologies to collect usage data from you.

Collection of non-identifiable, usage data by third parties

Third parties under contract with Dartmouth may use Cookies or Web Beacons to collect information about your usage of this website, including which health topics you have viewed.

H. Our Response to Do-Not-Track Signals

We do not currently respond to "Do Not Track" signals as there is no common set of standards for responding to them.

II. How Information Collected About You Is Used

A. Individually identifiable information gathered from users of this website will be disclosed only to the Principal Investigator, the Operational Director, and the Program Manager of the Option Grid Collaborative. We may disclose, without restriction, de-identified aggregated information about our users. Contemplated disclosures include reports about website usage, distributed to website users, Option Grid editors, and potential editors, and published research.

B. We, or our contractors (see Section E below), may use information that we collect or that you provide:

i) To present our website and its contents to you;

ii) To provide you with information, products, or services that you request from us;

iii) To fulfill any other purpose for which you provide it;

iv) To administer your account and ensure your registration to this website;

v) To notify you about changes to our website or any services we offer or provide through it;

vi) To enable you to use this website to suggest a future Option Grid and/or permit you to register yourself as an editor of a prospective Option Grid or nominate another individual for such role;

vii) To provide you with access to particular tools and services to enable the development of a particular Option Grid or multiple Option Grids including completion of the Option Grid content templates;

viii) To allow you to participate in the interactive features on our website;

ix) To respond to inquiries that you send to us and to send you administrative communications about this website or services;

x) To obtain your feedback about this website or our offerings, statistically analyze user behavior and activity, and consequently, improve our website and related services;

xi) To send you personalized emails or secure electronic messages pertaining to your health interests, including news, announcements, reminders and opportunities;

xii) To extend a personal invitation to you to participate in studies or projects for research purposes (see Section C below); and

xiii) To restore the website in case of any server failure, other technical error, or to carry out future developments to the website for which we would need an up-to-date database of user information.

C. Research and Measurement Activities

Information collected about you may be used to extend personal invitations to you to participate in research studies or projects related to this website or its broader, related goals. You are always free to decline to participate in any research study or project when contacted. Such research may be published by us or those to whom we have granted permission to publish, in each case without any personal identifiers such as names and email addresses.

Usage information may also be used by us and our contractors as critical feedback for improving website content and accessibility.

We may report aggregate information, which cannot be identified back to an individual user of this website, to our current or prospective advertisers and other business partners. We do not sell or share any personally identifiable information with any third parties except as described in Sections D and E below.

D. Disclosure of Your Information to Third Parties

Except as described in this Privacy Policy or as specifically consented to by you, we will not sell, trade, rent, or disclose personally identifiable information that we gather from you through this website to third parties for their direct marketing purposes. Third parties may collect personally identifiable information about your online activities over time and across different websites when you use our website and related services.

i) To comply with legal requirements such as a law, regulation, search warrant, subpoena or court order;

ii) In special cases, such as in response to a physical threat to you or others, to protect property, or to defend or assert legal rights;

iii) For any other purpose disclosed by us when you provide the information; and

iv) In the event of a transfer of ownership or control of this website, we reserve the right to transfer the information that you disclose to us as well as usage information that is automatically collected about you to the new party in control or the party acquiring ownership. In the event of such a change, the information that you disclose to us will continue to be treated in accordance with this Privacy Policy unless any changes to the Privacy Policy are made in accordance with Section IV below that discusses "Changes to This Privacy Policy."

E. Disclosures to Our Contractors

Our contractors sometimes have limited access to the information you provide to us and automatically collected data about your usage of this website in the course of providing products or services to us. These contractors include vendors and suppliers that provide us with technology, services, data analysis, research, advertising, and marketing assistance and/or content in connection with our operation and maintenance of this website. F. Disclosures to Third Party Websites

Certain content and services offered to you through this website are served on, or contain links to, websites hosted and operated by an entity other than us ("Third Party Websites"). We do not disclose your personal data to these Third Party Websites without your consent, but you should be aware that any information you disclose to the other websites once you access them is not subject to this Privacy Policy. We do not endorse and are not responsible for the privacy practices of these Third Party Websites. We urge you to review the privacy policy posted on these other websites to understand how Third Party Websites collect and use your personally identifiable information.

III. Data Security and Storage

A. Data Security

The security of your information is important to us and we strive to prevent unauthorized access, maintain data accuracy, and ensure the correct use of information. When you enter personal data (including personal health information in various tools on this website), we will use technology for encryption of that information that may include Secure Sockets Layers (SSL) connections technology, which is the current industry standard.

B. Data Storage

We will retain your information as long as your account is active or needed to provide you services. At any time, you can remove your personal data or instruct us to remove it, but you should be aware that it is not technologically possible to remove each and every record of the information you have provided to us from our servers. We will also retain your information as necessary to comply with legal obligations, resolve disputes, and enforce our agreements.

We take reasonable security measures to protect the security of your personal data. Despite our efforts to protect your privacy, there is always some risk that an unauthorized third party may find a way around our security systems or that transmissions of your information over the Internet may be intercepted.

V. Changes to This Notice of Privacy Practices

We reserve the right to change or modify this Privacy Policy or any of our tools or services at any time and any changes will be effective upon being posted unless we advise otherwise. If we make any material changes to this Privacy Policy, we will notify you by email (sent to the email address specified when you register) and/or by means of a notice on this website prior to the change becoming effective. We encourage you to periodically review this website for the latest information on our privacy practices.
